01

Get Claude Team

This is the subscription that makes everything work. You cannot run Claude Cowork on a free account.

10 minutes

Claude Team is Anthropic's plan for businesses. It costs $30 per user per month. For most small businesses, you need 1โ€“3 users. This is what unlocks Claude Cowork โ€” the platform where all 15 workflows live.

Get Claude Team: Go to claude.ai/pricing โ†’ click "Get started" under Team โ†’ enter your billing info. Takes 5 minutes.

  1. Go to claude.ai/pricing and click "Get started" under the Team plan.
  2. Enter your business name and billing information. Pay with a card โ€” invoices available for accounting.
  3. Add the people in your business who will use Claude. You can start with just yourself.
  4. Verify your email address when prompted. Check spam if you don't see it.
  5. You're in. You'll see the Claude dashboard. Next step is enabling Cowork.

Pro tip: Claude Pro ($20/mo) also works if you're a solo operator and want to test before committing to Team. Team unlocks organization-level workflow management and sharing.

02

Connect your tools

Claude needs permission to read data from your tools. You grant this once โ€” then it runs automatically.

20โ€“40 minutes

This is the most important step. Claude can't chase invoices without reading QuickBooks. It can't triage leads without reading HubSpot. Connect only the tools you have โ€” you don't need all seven.

Your data is safe. Claude inherits your existing permissions โ€” it can only see what you can see in each tool. Anthropic does not train on your business data on Team or Enterprise plans.

Enable Claude Cowork

Cowork is the part of Claude where the workflows live. It's already inside your Claude account โ€” you just need to turn it on.

5 minutes

Claude Cowork is Anthropic's agentic automation platform โ€” built into Claude for Team and Enterprise. It's where you install the 15 workflows and manage your approval queue.

  1. Log in to claude.ai. You'll see "Cowork" in the left sidebar (visible on Team plans).
  2. Click on Cowork. You'll see the workflow library โ€” all 15 pre-built workflows are already there.
  3. Go to Organization Settings โ†’ Capabilities to manage which workflows are available to your team.
  4. Enable Code execution and File creation โ€” these are required before any workflows can run. Toggle both on.
  5. You're now inside Cowork. Next step: turn on the workflows you want.

Note: The exact navigation may vary slightly depending on when you're reading this guide. Anthropic updates the Claude interface regularly. If you can't find Cowork, go to claude.ai/team/settings or search "Cowork" in the Claude search bar.

04

Turn on your workflows

Start with 3. Not all 15. Pick the ones that solve your biggest pain points first โ€” you can always add more later.

30โ€“60 minutes

In Claude Cowork, each workflow is a toggle. Turn it on, tell it a few things about your business (your invoice tone, your lead response style), and it's ready to run. Here are the ones to start with โ€” click to expand each one.

Finance Business Pulse โ€” Turn this on first
Expand
Your Monday Morning Brief. Pulls cash position, overdue invoices, pipeline, and priorities โ€” delivered to your email every Monday at 8am. Start here because it gives you immediate value and requires no approval actions from you.
  • In Cowork โ†’ Workflows โ†’ Business Pulse โ†’ Toggle ON
  • Set delivery time: Monday 8:00am your timezone
  • Connect to QuickBooks + PayPal + HubSpot (whichever you have)
  • Set your name and business name so the brief personalizes correctly
  • Click "Run now" to preview your first brief โ€” this is a read-only operation, no approval needed
Finance Invoice Chaser
Expand
Reads overdue invoices from QuickBooks, ranks them by age and amount, and drafts follow-up emails. You approve or edit before anything sends.
  • In Cowork โ†’ Workflows โ†’ Invoice Chaser โ†’ Toggle ON
  • Set your follow-up tone: Professional? Firm? Friendly? Give Claude 2โ€“3 example sentences you'd use.
  • Set your sender name and email signature
  • Set your overdue threshold: 7 days? 14 days? When should it start chasing?
  • Click "Run now" to see a draft for your oldest overdue invoice. Review it. Edit if needed. This is what you'll approve or change each week.
Sales Lead Triage (HubSpot required)
Expand
Scores every new HubSpot lead and drafts a personalized first response within minutes. You approve before anything sends. Never lose a lead to slow follow-up again.
  • In Cowork โ†’ Workflows โ†’ Lead Triage โ†’ Toggle ON
  • Connect to HubSpot (must be done in Step 2 first)
  • Set your scoring criteria: What makes a lead high-priority? Job size? Location? Service type?
  • Set your response tone: Give Claude 1โ€“2 example first messages you've sent that got replies
  • Set notification preference: Email? Claude inbox? When a lead response is drafted and waiting for you.
Finance Cash-Flow View
Expand
Builds a 30-day forward cash position forecast from QuickBooks and PayPal data. Flags shortfalls before they become problems.
  • In Cowork โ†’ Workflows โ†’ Cash-Flow View โ†’ Toggle ON
  • Connect QuickBooks + PayPal
  • Set your forecast window: 30 days recommended to start
  • Set alert threshold: e.g., "Alert me when projected cash drops below $10,000"
  • Run it immediately โ€” this is read-only, no approval needed
Operations Contract Reviewer (DocuSign required)
Expand
Reads new DocuSign contracts and flags clauses by risk level โ€” non-standard terms, unusual payment conditions, missing protections, expiry dates.
  • In Cowork โ†’ Workflows โ†’ Contract Reviewer โ†’ Toggle ON
  • Connect DocuSign (must be done in Step 2)
  • Tell Claude what you care about: payment terms, liability clauses, termination conditions
  • Set risk levels: what counts as High / Medium / Low risk for your business
  • Next time a DocuSign lands in your queue, Claude will annotate it before you open it

Start with 3, not all 15. Turn on Business Pulse, Invoice Chaser, and one more based on your biggest pain. Run them for two weeks. Then add more. Trying to configure all 15 at once leads to none of them being configured well.

05

Configure the Business Pulse

This is the one workflow everyone should have. Your Monday Morning Brief โ€” cash, pipeline, commitments, and priorities at 8am.

15 minutes

The Business Pulse is your Monday Morning Brief. It's a read-only report โ€” Claude reads your connected data and writes a plain-English summary of your business. No approvals needed. It just shows up in your inbox.

Here's what to put in the configuration so it tells you exactly what you need to know:

  1. Business context: Tell Claude about your business in 2โ€“3 sentences. "We're a plumbing company in Austin, TX. We have 5 technicians. Our average job is $1,200." This makes the brief specific to you.
  2. Delivery: Set Monday 8:00am your local timezone. Some people prefer Friday afternoon โ€” set whatever means you actually read it.
  3. What to include: Toggle on: Cash position, Overdue invoices, New leads, Payroll status, Week priorities. Toggle off anything you don't need.
  4. Alert thresholds: "Flag it if cash drops below $X" or "Flag if more than $X is overdue." Put your real numbers โ€” don't guess.
  5. Run it now: Click "Generate brief" to see this week's report immediately. This is what you'll see every Monday at 8am. Edit the settings if it's not quite right.

The brief looks better the more data Claude has. It gets more accurate after 2โ€“4 weeks of running. The first brief might feel generic โ€” that's normal. By week three it will feel like it knows your business.

06

Run your first approval

This is the moment it all comes together. Claude has drafted something โ€” an invoice follow-up, a lead response. You review it and decide what goes out.

5 minutes, then ongoing

The approval queue is the center of everything. This is where Claude puts every action that needs your review before it fires. Think of it like a draft folder โ€” Claude writes it, you send it.

  1. In Cowork, click "Approval Queue" in the left sidebar. You'll see anything Claude has drafted and queued.
  2. Click on the first item. Read it carefully. Is the tone right? Is the information correct? This first one matters โ€” it sets the standard.
  3. If it's good: Click "Approve" or "Send." Done โ€” it fires and Claude marks it complete.
  4. If it needs edits: Click "Edit," change what you need, then approve. Claude learns from your edits over time.
  5. If it's wrong: Click "Reject" and add a note about what was wrong. Use this to refine your workflow settings in Step 4.

This is your ongoing weekly workflow. Monday morning: read the brief, review the queue, approve or edit. Takes 10โ€“15 minutes a week once everything is calibrated.

Nothing ever sends without your approval. Anthropic's rule is clear: "Claude does the work; you approve before anything sends, posts, or pays." If Claude is doing something you didn't ask for, adjust the workflow settings โ€” don't just reject. Fix the source.

Getting stuck? We'll finish it for you.
